Working with Portal Documents

The LFC Portal comes with a flexible Document Management System (DMS) that is tightly integrated into your computer and enables you to work with electronic documents of all formats.

The DMS enables you to upload and work with documents, including flat files and other media, and manage the documents as needed to simplify your daily tasks. This entire process is synchronized and integrated into your existing operating system and the experience feels like you are working with your normal everyday local files.

The DMS also provides integrated versioning, multiple access on all devices, 24/7 availability, multiple layers of redundancy and security for your documents within the portal's repository. This reference will introduce you to the features and the benefits of working with and storing your files on the DMS.

Note that you need to be logged in to the portal with appropriate credentials to gain access to portal documents and resources. 

Accessing the Document Repository

The DMS is a component of the LFC Portal. To access the portal, navigate your browser to the URL: http://portal.lfcww.org

Click on the bold "My LFC" link at the top of the page.

You will be asked to sign in if you are not already logged in. Once you are signed in, click on the "My Documents" link to access the Document Management System (DMS).

Once the DMS is loaded, you will be presented with a folder view similar to Windows' explorer where the documents in a folder are listed on the right. The DMS features a pictorial view for all documents where images or documents are presented as icons or thumbnails so that you can identify at once what a document looks like.

The DMS Helper Suite

To make the experience as close as possible to your operating system's document viewer, the repository comes with a software suite that you can install on your computer (only Windows computers) which will make accessing your files and documents as seamless as possible. The software suite is called the DMS Helper Suite.

Download the DMS Helper Suite.

You can also always download the DMS Helper Suite from the link which is constantly above the folder view of your DMS.

Clicking on the above link will start the download of the DMS Helper Suite. Run and install this software once downloaded.

Once this program is installed, an icon will appear on your desktop's system tray looking like thus:

 

All the files and folders on the DMS will be mapped to a root drive on your system. To open the root drive on your computer, right click the DMS icon, and select "Open Root DMS Drive".

Accessing Files

Any file in the DMS can be accessed by browsing to that file and clicking on the "Live Edit" button within the drop down menu associated with it like so:

The file will be opened natively in your computer using the program that is associated with that file extension. Those files are also automatically synchronized to the DMS once you save the edited file.

Accessing Folders

Any folder in the DMS can be accessed by browsing to that folder and clicking on the "Access from Desktop" button within the drop down menu associated with it like so:
